Please review the following Articles of the Panhellenic Council Bylaws regarding selection of officers and the duties that are assigned to each.
ARTICLE II
-
The office of President of the Northwestern State University Panhellenic Council shall be held by officer elections. The President must have served on the Panhellenic Council for at least one semester.
- The offices of Vice President of Recruitment, Vice President of Programming and Vice President of Administration shall also be held by officer elections.
- The offices of President, Vice President of Recruitment, Vice President of Programming and Vice President of Administration cannot be held by the same organization two years in succession.
- All executive officers must meet the requirements for the recruitment counselor, which state that "all candidates for Recruitment Counselor must have participated in Panhellenic-sponsored recruitment as a member of their chapter. All candidates must also have a 2.5 GPA and be in good standing with their respective organization."
ARTICLE III
The President shall;
- Have overall responsibility for the operation of the Panhellenic Council
- Call and preside at all regular meeting of the Northwestern State University College Panhellenic Council.
- Call and preside at all weekly meetings of the Panhellenic Executive Board
- Review, approve and sign all Panhellenic Council checks and contracts involving the Northwestern State University College Panhellenic Council.
- Serve as member ex-officio of all Panhellenic Council Committees with no voice but no vote.
- Report as required to the National Panhellenic Conference Area Advisor.
- Maintain a complete up-to-date President's file which will include a cop of the current Northwestern State University College Panhellenic Council Constitution, Bylaws and Standing Rules; the current Panhellenic Council Budget, the current National Panhellenic Conference Manual of Information and related correspondence and materials received for her National Panhellenic Conference Area Advisor; her copies of the College Panhellenic Reports to the Area Advisor; and other pertinent materials.
- Serve as Chairman of the Judiciary Committee.
- Serve as a Recruitment Counselor
- Serve as assistant head recruitment counselor and aid the Vice President of Recruitment in the selection process of recruitment counselors.
- Plan and coordinate all conference and travel arrangements for the council.
- Perform all other duties usually pertaining to this office.
The Vice President of Recruitment shall:
- Serve as the Chairman of the Membership Selection Committee.
- Set requirements for and select recruitment counselors.
- Coordinate all Recruitment Marketing and Schedules
- Serve as the head recruitment counselor by planning all Gamma Chi trainings as well as the Gamma Chi retreat.
- Order supplies for Gamma Chi retreat and recruiting events.
- Review, approve and sign all Panhellenic Council checks and contracts involving the Northwestern State University College Panhellenic Council.
- Coordinate Freshman Connection events and volunteers to work the events.
- Assist with the development of a recruitment publication.
- Attend weekly Executive Board meetings.
- Perform duties of the President in her absence, her inability to serve, or at her call.
- Perform all other duties usually pertaining to this office.
The Vice President of Programming shall:
- Serve as the Coordinator of all Programming Committees.
- Meet with all committee heads bi-monthly./
- Work with all delegates on their committee selection and committee assignments.
- Organize at minimum one Panhellenic Council-sponsored Educational Program for all Panhellenic Council chapters per semester.
- Provide and assemble a Panhellenic Council calendar and maintain officer handbooks.
- Serve as Parlimentarian in regular business meetings and special meetings.
- Serve as a Recruitment Counselor.
- Be responsible for planning and supervising all social activities of the Northwestern State University College Panhellenic Council. She shall coordinate Panhellenic Relations programs and inter-Greek activities throughout the semester.
- Attend weekly Executive Board meetings.
- Perform all other duties usually pertaining to this office.
The Vice President of Administration shall:
- Keep up-to-date roll of the members of the Panhellenic Council and call it at all meetings.
- Keep current statistics concerning the number of initiated members and pledges of each Panhellenic Council member fraternity.
- Keep full minutes of all meetings of the Northwestern State University College Panhellenic Council and record all action taken by the Executive Board.
- Maintain a complete and up-to-date file which will include the minutes of the meetings of the Northwestern State University College Panhellenic Council from its dates of its organization; copies of all contracts made by the Panhellenic Council; and current correspondence.
- Be responsible for the official coorespondence of the Panhellenic Council.
- Be responsible for the general supervision of the finances of the Northwestern State University College Panhellenic Council.
- Be responsible for the preparation of the annual budget, and following it approval by the Panhellenic Council, be responsible for providing a copy to each Northwestern State University Panhellenic Council member fraternity.
- Receive all payments due to the Panhellenic Council, collect all dues and issue receipts.
- Be responsible for prompt payment of all bills of the Northwestern State University College Panhellenic Council.
- Maintain up-to-date financial records, give a financial report at each regular meeting of the Panhellenic Council, and give an annual report at the close of her term of office.
- Assist the President in planning and making reservations for conferences and any other council travel arrangements.
- Serve as a recruitment counselor.
- Provide the NPC area advisor with meeting minutes on a weekly basis.
- Assist with planning the Gamma Chi retreat.
- Attend weekly Executive Board meetings.
- Perform all other duties usually pertaining to this office.
